Who this covers
This policy describes how OVERTAKE Media handles information through overtake.media, inquiries and introductory calls. OVERTAKE Media is the brand name used on this website.
For privacy questions or requests, email contact@overtake.media. Client project information may also be covered by the agreement for that work.
Why we use it
We use your information to research the business and links you provide, respond to your request, prepare recommendations, arrange and manage calls, and send related confirmations or updates.
We also process technical information to keep the website available, investigate errors and prevent abuse. Sending an inquiry does not subscribe you to a newsletter. This website has no marketing signup.
Services that help us
Vercel hosts the website and processes requests. Cloudflare provides our private inquiry and booking storage and uses Turnstile to check submissions. Resend sends inquiry acknowledgments, booking updates, reminders and related notifications. Google Workspace/Gmail handles our email; Google Calendar and Meet support appointments and calls.
The website checks the OVERTAKE business calendar for availability. It does not sync the owner's personal calendar. Booking details are stored privately and used to create the business-calendar appointment and Meet link. We send branded booking emails; Google Meet and your own calendar application retain their own interfaces.
These providers receive the information needed for their role. We do not send inquiry or call-topic text to Turnstile. Delivery reports help us identify delayed, bounced or failed emails. Our GitHub health check receives only coarse service health and issue counts, without customer names, email addresses, messages or private booking links.
If you use an older or fallback Cal.com booking link, Cal.com also handles the details you enter there, under its own privacy notice. Inquiry answers are not automatically transferred into Cal.com.
Providers may process information outside Canada, where local laws and lawful government access can differ. Their own privacy notices explain their practices. OVERTAKE remains responsible for information under its control.
We may disclose information where permitted or required by law, including legally authorized requests or responses to fraud or misuse.
Cookies and technical information
Visiting the site or loading a security check or booking calendar connects your browser to the relevant provider. Technical information can include your IP address, browser and device information, request times and error or security signals. Our application uses an IP-derived identifier to limit repeated inquiry attempts.
The website does not include advertising pixels or an external analytics tracker. Its internal journey events contain service and plan context, not your name, email or message. Security and external booking providers may use cookies or similar technologies for their services.
The inquiry form can keep an unsent draft in this browser tab for 30 minutes after your last change, so you can recover from an interruption. You can clear it yourself; it is removed from tab storage after a confirmed successful submission. Private booking links and short-lived request receipts may also be kept in this tab to check or manage the request. Keep those links private, and clear site data on a shared device.
You can manage cookies and site storage in your browser. Blocking some technologies can affect verification or booking. You can contact us by email instead.
How long information stays
The private website inquiry backup expires after 90 days. Inquiry email jobs and delivery history expire after 30 days. Unsent inquiry drafts expire from tab storage after 30 minutes without changes.
Private website booking records are scheduled for deletion 12 months after the call ends, or 12 months after cancellation. Scheduled cleanup removes expired records; this does not delete copies in email, calendar applications or provider backups.
We review inactive, non-client inquiry and booking emails and business-calendar records monthly and remove them after 12 months from the last contact or appointment, unless still needed for an active request or legal obligation. We may remove information sooner when it is no longer needed. This is a manual cleanup routine, not an automatic inbox or calendar deletion timer. Records for paid client work follow the relevant agreement and applicable requirements.
Service providers can retain security logs, delivery records or backup copies under their own retention practices. Ask contact@overtake.media about a particular record or deletion request. We do not promise that deleting a website record erases every provider copy immediately.
Your choices and requests
Contact contact@overtake.media to ask about access, corrections, deletion or withdrawing consent. We may need to verify your identity before sharing or changing personal information. We will explain any legal or contractual restriction that prevents us from fulfilling a request.
You can leave optional inquiry fields blank or contact us directly instead of using the form. You can use the private links in your booking messages to manage your appointment. Withdrawing information needed to handle a request may limit our ability to help.
If you have a concern, contact us first so we can try to resolve it. You may also contact the Office of the Privacy Commissioner of Canada or another applicable privacy regulator.
Protection and updates
We use HTTPS, server-side validation, spam checks and restricted account access. We avoid putting inquiry contents into application error logs. No website or email system can guarantee complete security.
We will date updates to this policy and provide additional notice or obtain consent when required for a significant change in how information is used.
